Inventory Setup

Editing Inventory Categories

1. Navigate to the Administration Module

2. Under the Administration menu, click on the Inventory Categories folder.

  • A list of existing Product Categories display IF previously created.
4. Once the Edit icon is clicked, the Add/Edit Inventory Category screen displays.
5. Users can Edit the Category, Summary,  Full Description, and Upload & Add a product image.

6. Users can also define a Parent Category and create a hierarchy of folders to organize products further.

  • Users can define as many levels of Parent/Child relationships as desired.

Creating New Inventory Categories

1.Navigate to the Administration Module.
2. Under the Database menu, click on the Inventory Categories folder.
3. Click on the + Add Product Category button.
4. Enter the Category, Summary, Full Description, Upload & Add Product Image.
5. Click Save when editing is complete. Click Save when editing is complete.

Creating Warehouses

1. Navigate to the Administration Module.

2. Under the Administration menu, click on the Warehouses folder.

  • A list of existing Warehouses display IF previously created.
3. Users can choose to Edit an existing Warehouse by clicking on the pencil icon to the left of the value.
4. Click on the + Add Warehouse button.
5. A Blank Warehouse record displays. Users must add a Warehouse value and a Name value – all Address & Phone fields are optional.
6. Once the information is complete, click the Insert button to add the Warehouse record to the existing list.

Inventory Module Overview

Inventory Module TOUR

1. From the Navigation bar, click on the Inventory module.

2. In the Top section of the page is an area designated for Finding Inventory: users
can search by the SKU, Name, or Warehouse to display desired Products.

  • Using Find is especially helpful for searching among large groups of products housed over multiple warehouses to display exact location & product.
  • If users have a smaller setup, they may wish to simply expand the hierarchy below to locate the product more quickly.
3. Demo: Conducting a search for a particular SKU, the number 123115 is entered in the SKU search field.
4. And the Apply button clicked.

5. The hierarchy section then displays the exact FOLDER that the Product is located within.

  • The Locate function does NOT expand folders/subfolders to display the exact Product; it ONLY expands to the top-most folder location of Product.
6. User can Expand the located folder to display the contained sub-folders (if any) and then to the Product 123115 – the Christmas Gala Ticket itself.
7. User can Search for Product Folder location by the Warehouse dropdown (Only Warehouses created by Administrators display) or by entering a partial or full Product Name value.
8. Users can reset the search results by clicking on the Clear button.

9. Users can also Expand all folders manually simply by expanding the folders via
the left-hand expansion arrows.

  • Clicking on a particular Product will Display that product to the righthand Display section and enable users to Edit or Deactivate it as desired.
10. Users can also narrow the display of results by toggling the:
  • Show Empty Categories – Displays folders that do NOT have products currently contained within them.
  • Show Products – Defaults On; shows all Products.
  • Show Kits – Defaults On: shows all Kits.
11. Clicking on a Folder enables users to Add Product or Add Kit designated directly to that folder in the right-hand Display section – this enables quick Product association to the folder and is helpful in expediting Product creation.

Product Creation

In this section users will learn how to create individual Products that will be associated with and “stored” in the previously created Warehouses.
Users will Name the products, assign them to particular Categories (organizational folders), build out SKUs, assign Prices, determine Fair Market Value (FMV), determine if Discounts and/or Backorders are allowed, and many other aspects.

Users will also learn how to create Kit Products. Kits are groupings of multiple products that are combined for the purpose of:

  • Organization – Buy the Golf Package kit and get a Tournament ticket, dinner at the Golf Banquet, and a Commemorative Plaque.
    AND/OR
    Discounting – Buy the Golf Package kit and get 35% total price off by
    purchasing all products together.
Users will also learn how to adjust Inventory such as creating Purchase Orders (POs) that stock the location.

Creating Product

NEW PRODUCT DISPLAY

In this example, users will be taken through the steps in creating a new Travel Thermos for the Mugs folder in the fictional Inventory show previously.
1. From the Navigation bar, click on the Inventory module.

2. From the Inventory Hierarchy page, users can click one of the following:

  • The New Product button at the top of the hierarchy.
  • The Add Product button at the Folder level – Mugs as example.
    • If Add Product option chosen the user must have previously clicked on the desired folder level.
    • This option auto-fills selected folder as Parent Category of Product.
3. In this DEMO, the Add Product button associated with the Mugs Category (folder) is selected.
4. The New Product screen displays.
On the following pages, users will follow the DEMO to see the Travel Thermos product created and to review the function of all the fields by viewing screenshots and explanations of each TAB>SECTION.
NOTE: The top-level buttons: Save, Record PO, Add Assets, Deduct Assets, and Transfer Assets will be described once the Product creation completed.

Creating KIT Product

In this Demo users will see the creation of a Coffee Travel Package which will combine two products: the Travel Coffee Mug and the Travel Thermos into one Kit Product.
1. From the Navigation bar, click on the Inventory module.

2. From the Inventory Hierarchy page, users can click one of the following:

  • The New Kit button at the top of the hierarchy.
    • The Add Kit button at the Folder level – Mugs as example.
      o If Add Kit option is chosen, the user must have previously clicked on the desired folder level.
    • This option auto-fills selected folder as Parent Category of Product.
3. In this DEMO, the Add Kit button associated with the Mugs Category (folder) is selected.

4. The following General Tab fields should be completed with the desired values
to create the Kit – Example values in parenthesis:

  • SKU (EXAMPLE – 124000)
  • Name (EXAMPLE – Coffee Travel Package)
  • Category (EXAMPLE – Mugs)
  • Reorder At (EXAMPLE – 100)
  • Lead Time (days) (EXAMPLE – 14 )
  • Warehouse (EXAMPLE – Main)
    • Price (EXAMPLE – $25.00)
  • Default Fund (EXAMPLE – 13000-000-000 – Product Sales)
  • For Sale – Toggle ON
  • Allow Discount – Toggle ON
5. The Attributes, Media, and Adjustment tabs setup/perform the same way as when a non-Kit product is created. For info on their setup as well as additional General tab sections, see the Creating a Product steps earlier in this manual.
6. Click on the Kit Components tab.

7. The Kit Components Tab displays the product hierarchy – fully expanded – from
which users will Add Products to the Kit defined under the General tab.

  • As in creating a Product, it is possible for clients with large quantities of data to use the top, Locate Product section, to find a specific product’s folder in the hierarchy by searching via SKU, Warehouse, and/or Name.
8. In this example, two Mug folder products will be added.
9. Scroll down in the hierarchy to the Mug folder.

10. Click on the [123230] Travel Coffee Mug (Main) option under the Mug folder.

  • Users CANNOT select multiple products at once to add to Kit.
11. Click on the Add Product button to add to the Kit.
12. Click on the [123999] Travel Thermos (Main) option under the Mug folder.
13. Click on the Add Product button to add to the Kit.
14. Observe the Addition of the two products to the Kit Product area.

15. NOTE the following:

  • Once a Product is selected as a part of a Kit, it appears Grayed Out and is
    not selectable again.
  • Users can click the Remove button to delete the specific Product from
    the Kit.
  • The Pre-Packed toggle enables users to force the Kit to be shipped as one
    unit and not separately
16. Click the Save button.

17. The user is returned to the General tab.

  • The Kit is selectable in Rapid Entry and for Imports.
18. Clicking on the Inventory module, users can scroll down to the Mugs folder and see the clearly indicated Coffee Travel Package kit listed in green.
