Create an Inventory Item

To create an inventory item, you will need to do the following:
- Click on the
Inventory link in the left
navigation pane:
The Inventory window will be displayed: - Click on the
New Product button. The General tab will be displayed:
- Enter information into the Details section:
- Enter the SKU in the SKU text field.
- (optional) Enter the UPC in the UPC text field.
- Enter the name of the product in the Name text field.
- Choose the category from the Category dropdown menu.
- (optional) Enter the re-order point in the Re-order at text field. The re-order point is the point at which the product should be re-ordered.
- (optional) Enter the lead time for the re-ordering of products in terms of the number of days in the Lead Time (days) text field.
- Choose the warehouse where the product will be stored from the Warehouse dropdown menu.
- (optional) Enter the location within the warehouse where the product is stored in the Bin Location text field.
- (optional) Enter the weight of the product in the Unit Weight text field. Typically, the weight is only needed for shipping purposes.
- Enter the price in the Price text field.
- (optional) Enter the fair market value of the product in the FMV text field.
- (optional) Enter the handling cost of the product in the Handling Cost text field.
- (optional) Check the For Sale checkbox if the item is for sale.
- (optional) Check the Enclosure checkbox if the item is an enclosure.
- Enter information into the Online Store Properties section:
- Enter information into he Summary of Current Assets section:
- Enter
Inventory is controlled from the Inventory icon on the main menu.
Clicking on the Current Inventory link will display the categories that contain inventory items. Note that the categories we created in the previous section do not appear yet, as we have not added any inventory to them.
Next we will click on the New Component link under inventory. This dialog has 4 tabs, General, Current Assets, Pending Assets, and Adjustments.
General Tab
The general tab contains all of the basic information for the inventory item.
- SKU - Stock Keeping Unit. This is the main number or code used for identification of the item.
- Category - Clicking the drop-down arrow will display all of the available Inventory Categories.
- Warehouse - Clicking the drop-down arrow will display all of the available Warehouses.
- Default Fund - Clicking the drop-down arrow will display all of the available funds to assign to the item.
- Taxable - If tax is to be collected when this item is sold, put a check mark in this box.
- UPC - Univeral Product Code. If your organization uses these barcodes, you can enter the numerical value of the code in this field for use during sales.
- Re-order At - The value entered in this field will trigger when the inventory of the item reaches this quantity. Any item that reaches this inventory count will be displayed on the Instock vs. Reorder Levels report.
- Bin Location - This field can be used to identify a specific physical location for the item, to aid fulfillment.
- FMV - Fair Market Value. This amount is the estimated value of the item.
- For Sale -
- Description - This is the description of the item.
- Lead Time (Days) - This is an estimated amount of time it takes to receive an item once it have been ordered.
- Unit Weight - The weight of the item, for shipping purposes.
- Price - The cost that you paid for the item.
- Allow Backorder - This indicates whether or not the item can be backordered, to fulfill a request at a later date.
- Summary of Current Assets - The information displayed here give the current status of the item.
- Summary of Pending Assets - This area will display information on backorders and current orders placed for the item.
- Notes - This section is for adding any additional information about the item, such as a Vendor's contact information.
- Choose Save and Close to create the item.
Clicking on the Current Inventory link will display our newly added item, in the Books category.
