Refunding Transactions

Aegis CRM can match refunds to the transaction that is being refunded, if you have the correct permissions.  If you do not currently see a Return / Refund link on a partner's Transaction Summary - Contribution page, then contact Support as this is a restricted right.

If you are processing credit cards through Aegis CRM and you discover a credit card transaction that needs to be corrected on the same day that the error was made, you can refund the amount through Aegis CRM.  Aegis CRM will adjust the existing transaction so that the value stored in Aegis CRM will reflect the correct value.  If you refund the amount before the batch is reviewed, then the adjusted value will be sent in the acknowledgement letter. For non-credit card transactions, you can adjust other payments types in the batch before the batch is reviewed.

If the refund occurs on a day other than the day it was created, then you can still refund the transaction via Aegis CRM whether it is credit card, cash, check etc. This will allow Aegis CRM to link the refund to the original transaction.

Refunding the Full Amount

To refund the full amount of a transaction, you will need to do the following:

  1. Locate the partner.
  2. Locate the transaction.
  3. Click on the Return / Refund link:



    The Return / Refund dialog window will be displayed:

  4. Click on the Save button.

The full amount of the transaction will be refunded.

Refunding a Partial Amount

To refund a portion of the transaction, you will need to do the following:

  1. Locate the partner.
  2. Locate the transaction.
  3. Click on the Return / Refund link:



    The Return / Refund dialog window will be displayed:

  4. Click on the Edit link to the right of the Payment(s) section:



    The Amount field will become editable:

  5. Edit the amount.
  6. Click on Update.
  7. Edit the Amount in either the Product(s) section or the Gift(s) section. In this example, you would need to click on the Edit link for the Gift(s) section, edit the amount, and then click on Update.
  8. Click on the Save button.

For example, if this partner had wanted to donate $450.00 and the operator had accidentally entered $500.00, you would enter 50 in both the Payment(s) and the Gift(s) sections:
