Inventory

Inventory is the collective line of products an organization might offer for retail sale,  as components to an appeal or a response to a donation.  Items such as books, tapes, T-shirts, hats and other items are a few examples of Inventory.

To add an item to inventory, click on the Inventory button and select New Component.  Items under the General Tab allow the user to define SKU , descriptive information, product location by warehouse and bin location as well as product category.  New categories are added under the Administration tab and require proper user permission to access.

Purchase orders can be listed, assets logged, pending delivery of assets, deletion and adjustments to assets can all be recorded inside the Aegis CRM database .

New Component

A typical example of adding a new component or inventory item might look like this:

After clicking the New Component option:

    • Fill out the SKU and a description of the item.

    • Assign it to a category [See the section on Administration for managing categories].

    • Indicate where the item can be physically found [warehouse and bin locations].

    • Check whether the item is taxable, is for resale or eligible for backorder.

    • Type in the items Fair Market Value, FMV, and the price it is going to be sold for.

    • Indicate where the item's quantity is sufficiently low enough to require backorder and what the estimated lead time is for delivery.

    • List the items weight per unit.

Record Purchase Order

Once a new component has been added:

    • Enter a purchase order by clicking on Record PO

      • Provide

        • Dollar amount of the PO

        • Estimated Arrival

        • Unit Cost

        • Supplier

        • Purchase Order number

        • Notes

      • Save

      • A line item will now appear under the Pending Items tab, and a order quantity will show in the On Order window.

Add Asset

After a component has been ordered and received:

    • Click on the Add Assets tab

      • This spawns a dialog box

        • Add a delivery note # if applicable

        • Indicate the number of cartons received

        • Make any additional notes as required

        • Click Save

After this last step, other widows on the component's general edit display will be updated to show the new inventory status.

Assets can be adjusted or deleted by using the Adjustments tab or Deduct Assets button.

Current Inventory

Click on the Current Inventory option under the Inventory tab to display a list of current inventory and/or categories.  Clicking on the plus or minus buttons expands and collapses the directory.

Clicking on an item displays its details and allows the user to edit or deactivate the product.
